Clean attendee data before issuing access
QR check-in is only as reliable as the attendee record behind each code. Remove duplicates, validate required fields, and decide how transferred or cancelled registrations will be handled before confirmations are sent.
Use a stable attendee identifier instead of putting unnecessary personal details inside the visible QR value. Staff should see only the information required to verify the guest and complete the arrival.
Design the desk for normal flow and exceptions
Keep the fastest lane focused on guests who already have a valid QR code. Give a separate staff member or lane the tools to search for missing codes, correct records, or escalate unusual cases.
- Position signage before the desk so guests can open their code early.
- Test screen brightness, camera permission, and scanning distance on every device.

Rehearse with the real operating team

After the rehearsal, update the staffing plan and checklist. The final operating brief should fit on one page and name the person responsible for each fallback decision.
